04 Purpose of data
BCI Gebouw BV collects your personal data to properly fulfil the agreements made in our contract, maintain contact, and inform you about developments within BCI Gebouw BV, the BCI Gebouw tool, and the market. If we are (about to be) working for you, we will use your data—for example, to send quotes, schedule meetings, provide login credentials, and handle invoicing. BCI Gebouw BV does not make decisions based solely on automated processing that could have significant effects on individuals. Such decisions are always made with human involvement.

BCI Gebouw BV does not sell your personal data to third parties. We only share your data with other parties when necessary to fulfil our agreement with you or to meet legal obligations. When working with partners who process your data on our behalf, we make clear agreements about how your data is used and protected. BCI Gebouw BV remains responsible for these processes. If we ever need to share your data beyond these mentioned parties (e.g., to provide a service), we will ask for your consent first.

 

07 Retention period
BCI Gebouw BV stores your data for a longer period, but never longer than necessary for our activities unless legal obligations require us to retain it longer. We store your first and last name, company name, and email address in Mailchimp for sending newsletters. This data is stored indefinitely, as you can unsubscribe at any time using the link in the newsletters or by emailing info@bcigebouw.nl.

 

08 Security
BCI Gebouw BV has taken measures to prevent misuse of your data. We also have agreements with third parties who process data on our behalf to ensure they handle your data securely.

  1. Physical copies
    We do not make physical copies of your data. All data is managed in the previously mentioned systems and software.
  2. Access to your data
    Personal data managed by BCI Gebouw BV or third parties is accessible only through software protected with passwords and, where possible, two-factor authentication. This involves a code generated and sent from the software, which must be used during login. Devices used to access your data are themselves protected with a password and/or fingerprint. We limit access to your data to only necessary devices.
  3. Encrypted files
    In addition to password/fingerprint access, your data is stored in encrypted files. This prevents data loss or misuse in case of theft.

12 HPA – High Privileged Accounts
High Privileged Accounts (HPA) provide access to the technical application of BCI Gebouw with special rights that go beyond standard roles (administrator, moderator, calculator, viewer), as described on bcigebouw.nl.

HPA users can view all accounts in BCI Gebouw. The number of HPA users is limited. The following roles have access:

  • Team Lead Development (1)
  • Technical Service Desk Manager (1)
  • Info Service Desk Manager (1)
  • MT members (3)

Team Lead Development may grant development team members access to data, but only for development purposes. All HPA users declare the following:

  1. Not to access other accounts unless explicitly requested by the account holder or needed to resolve an issue.
    b. Not to share any information accessed through another’s account with anyone, unless requested or explicitly permitted by the account holder.
    c. Only use data anonymously for benchmarking, reports, and archetype purposes.

When an HPA user leaves the company, all standard HPA passwords are reset on their first day post-employment. BCI Gebouw may deactivate access earlier in the following cases:

  1. Termination of employment without mutual agreement;
    b. The user joins a potential competitor of the account holder.
